The Onboarding Coordinator supports our Talent Acquisition Department and our employees by acting as the primary owner of the timely completion of the e-verification process for Form I9 Paperwork and ensure documents submitted are accurate and stored appropriately in the ATS. This role will work within the Applicant Tracking System (ATS) to supervise the collection of employment verification documents. The Onboarding Coordinator will assist the new hire with any questions and will troubleshoot, in collaboration with our support team in ADP, any issues that arise. This position will participate in quarterly audits to confirm compliance with federal guidelines and will act as a back up for the Onboarding Specialist.
Essential Duties & Responsibilities
- Work with field, office, and warehouse teams for timely collection of federal Form I9 for each new hire
- Inspect Form I9’s for proper compliance with federal guidelines and insure completed forms and proper documentation are stored appropriately in the ATS
- Manage E-Verify performance and compliance through the ATS, or in the cases of a manual Form I9, through the USCIS portal
- Perform duties of Onboarding Specialist as aa back up in their absence
- Participate in audit of Form I9 and onboarding document compliance on a quarterly basis
- Understand and demonstrate safe work practices at all times to ensure a safe work environment
- Comply with all company policies and procedures
- Complete special projects and other duties as assigned by your supervisor
Knowledge, Skills, and Abilities
- Familiarity with applicant tracking systems
- Firm grasp of the Form I9 and E- Verify process
- Exceptional written and verbal communication skills; ability to build rapport
- Ability to work efficiently with a high level of independence and initiative in a remote environment, self-motivated
- Flexible and adaptable to change
- Technical aptitude, exceptional organizational skills, and meticulous attention to detail.
- Self-motivated with critical attention to deadlines
- Strong critical thinking, problem analysis, and problem-solving abilities.
Experience and Credentials
- High School Diploma/GED or equivalent experience required
- Proficiency with Microsoft Office programs
- Must have reliable access to internet to use for company-related business
- Must be able to read, speak and understand English
- Bilingual in Spanish or French a plus
